DAYTONA 2010 OFFICIAL THREAD

All this reading about people going to Daytona has really got my mouth watering :crazy01::crazy01::crazy01:
Perhaps next year -- he he heeeeee

I just received an email from Andrew at USARK wanting to know if there is anything he can do to help. Any suggestions on anything we might want to have Andrew do for/with us? I have already asked if he can make an appearance as he did last year and have also found out that Zoo Med will again match our funds raised.

I had suggested to him...

That we set up our most expensive donations, especially non-corn stuff, on his table for the day and try to sell raffle tickets all day long. (They would have to have contact info so the winner doesn't have to go to the corn dinner). We would take them with us to the dinner and sell more tickets at the dinner, and draw winners there. He was agreeable, but was hoping we could supply one or two people to sell the tickets at his table while he is pushing US ARK memberships. So I was thinking that maybe we could get a few members to agree to some "shifts" on Sat - maybe 2 - 4 hours at a time? Or whatever works out best for those who volunteer. Those of us with tables will not be able to participate in that part. Any volunteers?

I don't think we started a donation thread yet? Or maybe I missed it? I haven't asked to put any requests up on KS yet - that is where most of our non-corn (and some corn) donations came from last year. Guess I had better get on that soon.

Also, this year's Expo auction is to benefit US ARK. So that means we may not get as many donations, if they are giving to the auction instead.

What do you think?

I just sent off an email to Jeff B. at KS...

asking permission to post our request again. I will let you know when I receive a reply.

I saw that as well. Part of me is irked because this was "our" thing to do. We started it last year and already planned on doing it again this year. But I also can't begrudge USARK for raising money anywhere and any way that they can.

I have been privately soliciting some donations from some of the members here and others have sought me out to offer donations as well. But I agree, I don't know if we will have as many from outside of our group here this year due to the NRBE auction.

If anyone wants to volunteer to sell tickets for our raffle at the show that would be great. My only concern would be how would we get the prizes to them if they are not at dinner? Who is going to take responsibility for them until arrangements can be made?

I already got a response from KS...

that was FAST! They said fine. Now I am awaiting a response from Andrew to see if he wants me to use the same letter as last year to "authenticate" our request for donations.

I think that MOST (but not all) attendees will be coming from a distance and will be coming back on Sun. They could pick up their prize then. If not, but they give us a cell #, they could pick up at the hotel late Sat, after we call them. If they are leaving earlier, we will have to make arrangements to ship or mail stuff to them, but they would have to pay postage / shipping. Not sure how else we could arrange it.

Any ideas?

One of the mods from KS will come by the event...

to take photos and cover it for KS. So we will have some multi forum coverage. I will also make sure it gets posted over on Chuck and Connie's forum, if somebody has not done that already. I will also post about it on my Amazon-Alliance forum.

Y'all can mention it on any other forums you frequent, as well. The more buzz, the better!

I post the info every year over on Chuck and Connie's forum but never get any replies or any interest so I had not bothered posting it there this year yet.

Yes, I also didn't get much interest on the cornsnake forum on KS last year - most of the response was on the ball forum, of all places! Maybe the other cornsnake people think it is just for this forum? Not sure why they have no interest. I have a personal forum over at C & C's, so will post it there, too.

I just got a reply from Andrew...

We can use this letter to show that we really are gathering donations for US ARK. If any members know anyone who might donate, they can send potential donors here to see how their contribution will help (of course this letter is directed at anyone who is helping this event, but addressed to Katie and me because we are probably the most active in acquiring donations):

Kathy & Katie,
Thank you so much for all the great work you are doing to support the Herp Industry and USARK. The Corn snake Dinner was a smashing success last year and you raised about $1800 for USARK . We were grateful and are excited that you plan on doing it again in 2010. Of course Zoo Med is still matching donations so whatever you raise this year will be matched by Gary Bagnall at Zoo Med. He has just been elected our new Chairman of the Board! If there is anything I can do to help let me know. Thanks again for your support!

Kindest Regards,
--Andrew

FINISHED!

I just posted the donation request on 7 forums on KS (with permission), so we will see what happens.

For all of the CS members coming to Daytona....
If we have some large ticket items available - Andrew has advised we can put them on the USARK table during the day to generate additional raffle ticket sales - HOWEVER - we would need volunteers from our group to man that part... Would anyone here be willing to volunteer some hours on Saturday to try to garner more raffle ticket sales?

Nanci, Mindy (v_various) and I are also working on a tshirt for this year so hold on to a few bucks to get some before the show. Last year we didn't sell very many (they were pretty much at base value) so I hope this year we can do better. The tshirts aren't about making sales to raise additional funds (although any profits made are added to the pot for USARK), but more about having a keepsake from our GTG. However, if they don't catch on it won't seem like there is much point in doing them again next year.

Anyone else still need a hotel room (Eric??)? We still have plenty of rooms available.

I also need to start getting a "head count" for approximately how many people will be attending the dinner so I can get with the restaurant to figure out exactly how we are going to set this up and what the per person cost is going to come out to. I will start a separate thread to get dinner confirmations. Maybe check with Carol and see if we want to do something similar to last year where she had her own "raffle" that with the purchase of a ticket included your ticket for dinner....
Carol??

I would not mind volunteering Saturday. What would I have to do. I know that show like the back of my hand. I have gone every year even back when it was in Orlando in the twin towers. Plus I only live about 30mins away from Daytona.

The donation requests have been up on KS for a few days...

definitely not getting the response we got last year. BUT - a couple of people have promised boas (not sure what kind yet), somebody promised a few special colors of cresties, and Tom Crutchfield said he would give something really nice, even though he is already donating some albino iggys to the evening auction. He MAY offer us a pied ball python - not sure yet. Hopefully we will get a few other cool things to offer, too.

You would just have to sell raffle tickets for the few items we keep at the US ARK table, and answer any questions anyone asks. And make sure the ticket buyer puts some contact info on the ticket stub we keep, and puts it in the jar or bucket for that item.

Whomever is at the table at the close of the show Sat will have to get the items and tickets to my table or to the dinner to continue the raffle.

Should be fun and easy!

Thanks Kathy - sounds good so far!

I do also have another volunteer for the table that PM'ed me. I figure if we get some donations worthy of the table - then I will try to put together a "schedule" for all the volunteers.

I am thinking of asking Bill to make some snazzy signs...

(he is good at that) something like the following. But if any of y'all want to do it, or suggest changes, it would save him the trouble. My ideas so far (for the US ARK table / raffle):

DAYTONA CORN SNAKE DINNER RAFFLE!
to benefit
US ARK

BUY YOUR RAFFLE TICKETS FOR YOUR CHOSEN PRIZE HERE!
$_____ each

NEED NOT BE PRESENT TO WIN – just fill in your contact info. Winners can pick up prizes here on Sunday, or pay for shipping after the show.

Winners will be drawn tonight at the Annual Daytona Corn Snake Dinner – everyone is invited to attend the after dinner drawing at ___ p. m.

RAFFLE TICKETS - $_____ each

ALL PRIZES NOT CLAIMED BY 5 P.M. SUNDAY WILL BE FORFEIT UNLESS SHIPPING ARRANGEMENTS HAVE BEEN MADE IN ADVANCE.

Suggestions? Changes?

I like it just how it is Kathy. I think that is perfect!

If there is somebody here who is good with graphic programs...

they could spice it up with some colors, font sizes, etc, and maybe an eye catching photo (you could probably get permission to use anything on this forum or member's websites). I don't have a color printer, but if somebody could print a few copies, and bring them (or mail them to me), that would be great.

If not, I can get Bill to do the graphics and I can print it out at Kinko's.

Anyone want to show off their talents here, lol?
