DAYTONA 2010 OFFICIAL THREAD

I am so down on the #1 option with dessert if possible. I so can not wait to be at my first dinner with everyone. Very very exciting.

Any chance in heck to find out what a beer option would be? (No worries if you think this would be too much).

Last year I just ran up to the room to grab a beer... no one said anything, so I guess you can BYOB...

*edit: That being said, I don't think I'd bring down a 12'er and set it on the table, so a little discretion is the way to go...

IIRC - alcohol in our room from whereever we get it is ok.
Alcohol downstairs with dinner can either be purchased in their little "corner market shop" at the hotel or last year she said there might be a way to have them have a cash wine/beer bar. We didn't seem to have enough interest last year to make it worth it though - only a couple of people wanted to have it.

OK I have a question for Kathy, Jeff, and any other vendors. How long does it take to get the reptile sellers permit? This has completely escaped my mind until now and I'm wondering if getting it out Monday is too late?

I hope it is not too late! I did not get my vendor packet until last week so my permit application did not get sent out until then. From past experience, they are usually pretty fast and we still have just over a month.

By the way...didn't know you were vending....AWESOME!

i was thinking about thursday night to monday whatever time.

Seems silly to pay just as much for a car as i am to fly down!

I also vote for #1. Since I'm driving down, I'd be happy to bring some dessert items, either homemade or from Sam's.

Hey, I'm for sure coming, and I'll be contacting Katie about a hotel soon. However, I am trying to decide what size of room I should get. Is anybody looking to share? The sleeper sofas are plenty comfy, so I would be happy to sleep there (though I do plan to be there from Thursday til Monday). Otherwise, I'd be happy to rent my living room for a couple bucks to defray expenses... PM me if anybody is interested, I'll probably get the hotel room next week sometime...

Is anyone else from up your way coming down? Sharon or Kim?

Danny wants to come, but Sharon is pretty sure they can't afford it because they need to save for the wedding. I don't believe Kim can make it either, but I'm not totally sure. Both said a ride was unlikely, so I'm flying...

I did message Sharon on Facebook and she did say it looked unlikely that they would be making it this year due to wedding planning and financing. Which is a bummer - would have loved it if they could make it - but I do understand how important the wedding is!
Haven't heard from Kim so I will try messaging her as well.
Did anyone respond to your offer to bunk up?

Also - for anyone else needing rooms - don't forget - August 1st is the last date we are guaranteed our rates. Anything booked after that date - our rate will be based on availability. So hurry up and get your rooms booked before they are gone!

Update on dinner...
We can have option one with dessert added for an extra buck - so $12.99 per person.
Joe checked with the hotel and all setup/serving services are included in this price.
Carol is going to be kind enough to run a raffle again this year to collect money for dinner - and we thought it might be prudent to add an extra $1.00 on to the dinner cost to cover any fees she may incur using her paypal account to do this for us again. Is everyone ok with that - dinner for about $14.00 per person?

Also - how do we want to handle purchasing any extra dinners this year in the event we have last minute people show up who did not confirm in advance? We can recoup the money from them at the door - but we need to pay Uno's in advance for the dinner....

How much is tax in Fl? We want to make sure we cover that too. Even though all fees are included, how do people feel about adding a little for tip? It doesn't seem likely in my job, but I actually do deal with caterers a lot and I know if they end up serving the same customers year after year, they are much less enthusiastic about those who don't tip. They tend to not try as hard the second time around for non tippers. :shrugs: It looks like we are going get a much better deal than last year either way!

I will try my best to make the raffle prize nice enough to be worth any extra we put on. And of course, like last year, any extra money leftover after all expenses are paid, will go to USARK.

We can allow people who are not attending to buy tickets for the same raffle at a reduced price to try and earn come extra cash for extra food, and so they can be included. What do you guys think?

Last year, didn't we let people buy extra raffle tickets and put that money toward extra dinners??

Yes, last year we did allow non attenders to buy tickets at the full price. Do we want to do the same thing or do we want to offer them cheaper this year? It doesn't matter to me. Just looking for input. :)

That does sound familiar....
So what would we consider fair to include any extra for taxes or tips or whatnot? I know the dinner cost is inclusive of tax and tips, but still....
