DAYTONA 2010 OFFICIAL THREAD

If we make it that winners need not be present to claim a prize we may need a backup plan for those who are no-shows on Sunday or don't want to pay shipping. Sure we can contact people via their info but if they can't be reached or don't want the stuff after all...a backup plan would be a good idea.

Maybe someone auction/raffle that kind of stuff here?
 
Also, has it been arranged how we will get the food paid for? Do we collect ahead of time? Do we just buy a bunch and charge a fee for food when people get there? I'd be happy to try and help raise food funds ahead of time but I'm not sure how everyone wants to go about it.
 
I was thinking that either picking up Sun or paying for shipping will be a condition of winning (if not present at the drawing). Maybe the sign should have a line at the bottom stating something like:

ALL PRIZES NOT CLAIMED BY 5 P.M. SUNDAY WILL BE FORFEIT UNLESS SHIPPING ARRANGEMENTS HAVE BEEN MADE IN ADVANCE.

If we warn them like that, then sure, we should have a back up plan.

Last year, Tracy Barker donated an expensive book ON SUNDAY - too late for our raffle. And Jeff B. from KS gave us $100 worth of forum sponsorship, also too late. So I gave them to Andrew and he put them in the auction at one of the NARBC shows, and gave us "credit" for whatever he got for it. That will work for dry goods, but for animals we have to think of something different.

I liked how we did it last year - had everything paid for up front. As soon as I can get the figure on how much per person for dinner this year I would suggest that someone again takes up collecting all the funds for dinner to pay in advance.

Maybe live animals should be pick up Sunday only
I am really leaning towards this too. If they don't show up - then who is going to take responsibility/care of any animals not picked up until we figure out what to do with them?

I think a line as stated above would work fine.

For all items not picked up or any new items received on Sunday we could have a CS.com auction the following week for those goodies. :shrugs:

We would just need a few volunteers to accept any non-picked up items and then agree to ship them on to the winners.

....but all of this may be for nothing as there may be a good chance everyone will pick up their stuff and all would be well.
 
The only items that will be likely to be a problem will be those at the US ARK table on Sat. Those not displayed will be won by people present at the drawing. And they will have already made arrangements with SOMEBODY for shipping whatever they get at the show, if they can't take it home with them.

So we probably should only put out a few, high dollar animals at the US ARK table. If somebody wins a pied ball python, or even an albino boa or python, etc, chances are pretty good they will get somebody to pick it up for them on Sun, lol!

Me too, I'm just not sure how to go about it. Is Uno providing drinks as well or will we be able to bring our own drinks?

Not sure yet - still trying to work out the details.

I agree...I would hope that if someone won one of these big ticket items that they wouldn't take the chance to lose out on it.
 
We probably also need to figure out how many slices there are to the pizzas and if catering includes people who will stick around and serve.

Just thinking out loud to get some ideas going...

We could charge per item, like per slice, per side salad, per (insert whatever here) or we can do one flat rate gets you up to 3 items (2 slices of pizza and 1 side salad or 3 slices of pizza or 3 side salads to make a really big one, etc). Either way we can have people suggest in advance what they are likely to eat to help with the numbers. Also, either way we will aso have to figure out a way to identify who paid, and with scenerio #1, how many items they paid for.

Any thoughts or suggestions?
 
It would be nice if each person could order as much or as little as desired - if it is workable. Depends on whether the caterer is willing to take tickets, since we will all be occupied.

We could issue a ticket for each item, to be exchanged at dinner. If somebody orders 3 slices of pizza and a salad, they would get 4 tickets. Maybe one color for pizza and another color for salad, etc? But somebody would have to take tickets - unless we want to rely on the honor system, and just have people drop off their tickets and pick up their food. Then their tickets would just serve as a reminder to the buyer as to what they purchased.

I think this is going to start making matters more complicated than they need to be. We just need to get a number on how much dinner would cost per person and do it like we did last year. Get as many people as possible to prepay dinner in advance so we can get the money to the vendor and pay for a few extras for any stragglers....
 
Katie, if you think it would be helpful I'd be happy to do a prepay raffle again this year, once we get the details sorted out.
 
Is anyone planning on driving to Daytona? My poor little Jeep just won't make it that far and I'd love to try and go to Daytona AND Tinley this year and would be willing to share expenses with someone if there is anyone from my vicinity going.

Of course, I'll be flying to Tinley...
